Fotofile.db
The Fotofile database screen is a core feature in Agave SPS. It contains your entire image inventory and enables you to gather photos for submission, create general memos, view restrictions, interrogate image submission and sales history, manage graphics and print labels as well as execute query searches.
Managing Dupes
For film users, Agave SPS provides full support for tracking of duplicate images. Utilizing copies of your images, whether they are produced in the camera or in the lab, is the key to surviving in the business of stock photography. Shown here are the Agave SPS dupe status forms. For your convenience these displays can be accessed by pushbutton from many of the key data screens in Agave SPS.In Agave SPS the term "Dupe" refers to any one of a set of legally identical or similar images. In this context a duplicate may refer to an original first generation emulsion, or a duplicate produced in the photo lab. The association of dupes involves making sure that all members of a dupe set share the same restrictions and memos.
Digital vs. Dupe
In Agave, digital files are treated in much the same way as film dupes. While you may have only one master of a digital image, the file is by nature, a virtual dupe and Agave applies the same checks for simultaneous and conflicting sales as it does for film.
Dupe Submission Status
The submission status display, also known as the destination display shows the disposition of the currently selected image and all associated dupes. Double clicking on any submission code opens a log revealing the complete to date activity of that submission.
Dupe Sales Status
The Dupes Sales History display allows the user to get a quick look at where an image and all associated dupes been sold in the past.The tracking and concurrent updating of dupes is transparent the user. Any memo attached to the slide or stock sale generated with dates of restricted usage attached will subject the image AND it's associated dupes to a confirmation dialog when encountered in subsequent submissions and invoices. When the window of legal usage has expired, the confirmation flags attached to the image AND all associated dupes are automatically removed. These restriction flags are cumulative... in other words it is possible to have more than one restriction on an image. Each restriction is updated on an individual basis. This monitoring function is run when the program opens and is invisible to the user.
